iBuy+ changes for Goods and Services

What is Changing?
 
1.  Users will still access GW contract pricing via online vendor catalogs via will log in to the vendor’s system with their @gwu.edu email address rather than signing into iBuy+’s SciQuest application.  From the iBuy+ Goods and Services page, select the corresponding tab for the type of good or service you are looking to procure.  Logos for contract suppliers will be presented, and after clicking the logo of the supplier desired, log in to the vendor’s system.  Utilizing an @gwu.edu email address, users will log in with a new password that is personally-selected.  (Current single-sign-on access is not facilitated).  Once logged in, the GW contract pricing will be presented.  PLEASE NOTE: If you have created orders through the iBuy+  application in the past year with the vendors available as part of this new process, you should receive an email notification from those vendors about your account credentials or account creation process in the time between now and 10/14.
If this is your first time ordering from any of the available vendors, you will need to request an account be created for you by emailing ibuyatgwu [dot] edu.  Please make sure that you state what vendor(s) you are requesting access to so that the we can get the accounts set up appropriately.  Any questions related to this process can either be emailed to ibuyatgwu [dot] edu or by calling the iBuy+ Helpdesk at 3-4477. 
 
2.  No approval is required prior to purchase.  Once the order is complete, a pCard will be needed to pay for the selected items and approvals are documented during the Concur expense report process.  The accounting instructions of where to charge the purchase (currently provided in iBuy+ at the time of the order) will also be assigned within Concur. 
 
3.  Purchases will be limited by the single-transaction spending limits, currently set at $3,000 for the majority of pCard holders.  Analysis of historical activity in the current SciQuest platform shows that ~97% of orders are less than $3,000, with an average order of $312.56.  Purchases over $3,000 should be completed by following the requisition to purchase order process in EAS.
 
4.  We have added an Amazon access portal in iBuy+ to place orders against GW’s Amazon for Business account.  In order to gain access to the university’s account, you must be invited by Procurement to join and many of you have received invitations already.  If you have not been invited and are interested in becoming a part of your School or Division’s buying group, please send your request to procureatgwu [dot] edu.  A pCard will be necessary to complete your purchase in Amazon. The Amazon Business account carries supplemental discounts and free shipping over $49 as well as carrying GW’s tax exempt certifications for 16 states.
